Read this. It matters. These Terms & Conditions (the “Terms”) govern all services, consultancy, designs, installations, and product sales supplied by Anatolio. By requesting, booking, paying for or using any Anatolio service or product you accept these Terms.

1. Services covered

These Terms apply to all Anatolio services, including but not limited to:

  • Electrical assessments, inspections and reports

  • Electrical system design and CAD drafting (AutoCAD, Revit MEP, PVSyst outputs)

  • Installation, repair and commissioning of electrical and backup power systems (inverters, batteries, wiring)

  • Consultation, site surveys and project management

  • Sale of equipment or components (if supplied)

Specific project scopes, deliverables, timelines and costs are set out in separate written proposals, quotes or invoices (each a “Quote”). Where a Quote conflicts with these Terms, the Quote controls only for the specific Project and only where it expressly overrides.

2. Quotes, acceptance and deposits

  1. Quotes are valid for the period stated on the Quote or 30 days if no period is stated.

  2. Acceptance occurs when we receive a signed Quote, a written confirmation, or a deposit/payment specified in the Quote.

  3. Deposits: For ALL Projects we commonly require a deposit (typically 20–50% depending on scope). The deposit secures scheduling and procurement (if any).

  4. Scope changes: Any change in scope after acceptance will be quoted and billed separately. Work on change orders starts only after written acceptance.

3. Payment terms

  1. Currency & Taxes: Fees are in the currency stated on the Quote and exclude applicable taxes (VAT, duties). These are payable by the Client.

  2. Payment schedule: As stated in the Quote. If no schedule is given, payment is due on completion.

  3. Payment methods: Bank transfer, card, mobile money or other methods stated on the Quote. Fees for card or third-party payments may be charged to the Client.

  4. Ownership of deliverables and equipment: All design files, source files and drawings remain our property until full payment is received. For goods supplied, title passes on payment in full; risk passes on delivery.

4. Booking, cancellation and rescheduling

  1. Bookings: Site visits, surveys and installations must be scheduled in advance. Confirmations are sent by email/WhatsApp.

  2. Client cancellations:

    • Cancellation more than 72 hours before scheduled site visit/appointment: full refund of any deposit paid for that visit (unless Quote states otherwise).

    • Cancellation between 24–72 hours: 50% of the visit fee or deposit is retained.

    • Cancellation within 24 hours or no-show: full visit fee / deposit retained.

  3. Rescheduling: We will reasonably accommodate reschedules. Reschedules made fewer than 24 hours before the appointment may incur a fee equal to 25% of the visit fee.

  4. Project cancellations: If a Project is cancelled by the Client after work has started, the Client pays for all work done, materials purchased, and a reasonable cancellation fee (typically 10–20% of the remaining balance) unless otherwise agreed in writing.

5. Refund policy (clear, practical)

We’re practical: refunds are limited and governed by the service type and status.

A. Assessments & small service visits

  • If you cancel >72 hours before the appointment — full refund of any deposit for that appointment.

  • If cancelled 24–72 hours before — 50% refund of visit fee/deposit.

  • If cancelled <24 hours or no-show — no refund.

B. Design services (CAD, Revit, PVSyst, drawings)

  • Before work begins: Full refund of any deposit minus a 10% administrative fee.

  • After work begins but before delivery of first draft: Refunds are possible pro-rata for undelivered work; we will calculate the refundable amount based on time spent and non-recoverable costs.

  • After first draft delivered: No refund — revisions and rectifications handled under the project scope or via a change order. We may offer partial credit at our discretion.

C. Installations, equipment supply and combined Projects

  • Equipment returns: New, unopened equipment may be returned within 7 days of delivery for a refund less shipping and a 10% restocking fee, provided the item is in resaleable condition and manufacturer rules allow. Custom-ordered or specially procured items are non-returnable.

  • Work already started on site: No refund on labour already performed. If the Client pays in advance for materials not yet purchased, we will refund the amount excluding any non-refundable procurement charges (max of 5% of material cost).

  • Manufacturer warranties: Product defects may be covered by the manufacturer’s warranty — we will assist with warranty claims but do not guarantee the manufacturer’s performance.

D. How refunds are processed

  • Requests: All refund requests must be made in writing to info@anatolio.solutions with invoice number, reason, and bank details (if refund by bank transfer is requested).

  • Timing: Approved refunds processed within 14 business days. Refunds are made to the original payment method where possible.

  • Disputed refunds: We will attempt to resolve disputes in good faith. If unresolved, refer to the dispute resolution clause.

6. Service performance, acceptance & warranty

  1. Standards: We perform services with reasonable skill and care in accordance with good engineering practice and applicable standards. We do not guarantee underground conditions or hidden defects not disclosed to us.

  2. Acceptance: Deliverables are accepted when the Client confirms in writing or when the Client uses the deliverable for its intended purpose for more than 14 days without written objection.

  3. Warranty: For our workmanship, we offer a limited warranty of 3 months on labour. Manufacturers’ warranties cover equipment; warranty claims do not extend to damage from misuse, tampering, or acts of God.

  4. Excluded claims: We do not warrant that systems will be uninterrupted or free from failure after handover; we can provide maintenance/inspection contracts separately.

7. Limitation of liability

  1. Indirect loss excluded: We are not liable for loss of profit, loss of business, loss of revenue, loss of use, or indirect, special or consequential losses.

  2. Cap on liability: Our total aggregate liability for any claim (contract, tort or otherwise) is limited to the total amount actually paid by the Client to Anatolio under the relevant Quote.

  3. No liability for third-party systems: We are not liable for failures caused by third-party products, installations by others, or pre-existing defects we did not create or were not told about.

  4. Insurance: Clients are encouraged to maintain adequate insurance for their premises and operations.

8. Intellectual property & use of deliverables

  1. Ownership: We retain copyright and ownership of design files, drawings, CAD models and documentation until full payment.

  2. Licence on payment: Once paid in full, the Client receives a non-exclusive licence to use the deliverables for the Project only. Reuse for other projects requires our written permission or a separate licence fee.

  3. Portfolio use: We may use non-confidential aspects of the completed Project (photographs, descriptions) for our portfolio, marketing and case studies unless you instruct us otherwise in writing at the time of engagement.

9. Confidentiality & data protection

  1. Confidential information: Both parties agree to keep confidential any technical or commercial information disclosed and not to use it other than to perform obligations under the Quote.

  2. Personal data: We will process personal data as necessary to provide services and in accordance with applicable data protection laws. By providing personal data you consent to that processing. Ask us for our Privacy Policy for details.

10. Subcontracting and third parties

We may subcontract parts of the work (e.g., specialist electricians) but remain responsible to the Client for the subcontracted work. Third-party products are supplied subject to the manufacturer’s terms.

11. Force majeure

We are not liable for delays or failures caused by events outside our reasonable control (strikes, shortages, transport disruption, pandemics, weather, civil unrest, supply chain issues). We will notify you and propose a revised schedule.

12. Termination

  1. By Anatolio: We may suspend or terminate services if the Client is insolvent, fails to pay, or otherwise breaches these Terms and does not remedy the breach within 14 days of notice.

  2. By Client: The Client may terminate on reasonable grounds but must pay for work performed, committed costs and any applicable cancellation fee.

13. Dispute resolution and governing law

  1. Talk first: We prefer to resolve disputes amicably. Start by emailing info@anatolio.solutions.

  2. Mediation: If unresolved within 30 days, parties agree to mediate in good faith.

  3. Governing law & jurisdiction: These Terms are governed by the laws of Zambia. 

14. Miscellaneous

  1. Entire agreement: These Terms and the Quote/Pro-Forma/Sales Order form the entire agreement.

  2. Severability: If a clause is unenforceable, the rest remain in force.

  3. Waiver: Failure to enforce a right is not a waiver of that right.

  4. Notices: Send notices to info@anatolio.solutions unless another address is provided in the Quote.

15. How to request a refund or raise a dispute (practical steps)

  1. Email: info@anatolio.solutions with subject line Refund Request — [invoice/quote number].

  2. Include: invoice/Quote number, date of payment, reason for refund, supporting photos or evidence, and preferred refund method / bank details.

  3. We will acknowledge within 3 business days, investigate, and provide an outcome within 14 business days. If approved, refunds are processed within 14 business days thereafter.
